How to contact influencers with Wednesday: 1v1 or at scale

Wednesday allows you to save time and boost conversion rates by reaching out to influencers individually or in bulk via personalized emails. Here's how you can easily contact creators in just a few steps.


I. Create emails

Option 1: 1v1 email

  1. Navigate to 'Selected': In the menu bar, choose from your list of pre-selected creators.

  2. Access the Creator's Profile: Click on their profile summary to view their full details.

  3. Initiate Contact: Click the Email button, then select Start Conversation to open the email editor.

  4. Compose Your Email: Write your message and include an attention-grabbing subject line.

  5. Send Your Email: Once satisfied with your message, click Send to reach out to the creator.

Option 2: Scale Emails with the Inbox Tool (Outreach Plan Only)

You can reach out to influencers in bulk using Wednesday's Inbox tool. Follow these steps to set up your mass email campaign:

  1. Create a Mailing: From the Influencer Relationship Management (IRM) tool, select the influencers you’d like to contact. Click + Create > Email.

  2. Add a Mailing Name: This is for internal use only and helps you track the mailing later.

  3. Set Up Email Sender: Make sure to connect your Gmail or Outlook inbox to Wednesday before sending the mailing, or you can use our default email sender.

    Note: Once the first email is sent, the sender can no longer be changed.

  4. Compose Email:

    • Customize the subject and body text.

    • Use the toolbox to personalize your email, including adding attachments or using HTML code.

    • Merge Fields: Insert personalized details from influencer profiles (e.g., their name or social media handle) to create a tailored message.

      You can either:

      • Use our pre-set merge fields.

      • Create your own merge fields by typing {{ in the email body or selecting from the merge field box.

    Tips: You can also add merge fields to the email subject line for a personalized touch that increases open rates. To do this, manually type or copy the merge field from the email body into the subject line.

  5. Fallback Values: Define fallback values to replace missing merge field data (e.g., using "there" if the influencer's last name is missing). This ensures the email is still sent.

II. Checking Your Emails Before Sending

Preview Mode

Preview Mode helps you check how your emails will look for each influencer before sending. It replaces merge fields with actual data from the influencer profiles, making it easy to spot any missing information.

To enable Preview Mode:

  • Toggle on Preview Mode in the email editor.

  • The system will show the content of your email with actual influencer details, using the following colour codes:

    • Green: Merge field data is available.

    • Yellow: Merge field data is missing but has a fallback value.

    • Red: Merge field data is missing, and no fallback value is defined.

You can also use the dropdown menu to preview emails for specific influencers, allowing you to identify and fix missing fields before sending. Icons next to influencer names will flag profiles with missing data.

Save an Email Template

If you want to reuse an email, click the dropdown next to the Send button and save the email as a template.

You can find and apply your saved template by click on "Templet" button, then pick the template needed.

Send a Sample Email

You can send yourself a sample to see how the email will look to influencers. This step ensures everything is perfect before sending it out.

III. Add influencers to your existing Mailing

You can add new influencers to an existing mailing at any time. This will schedule emails to the new influencers using the same template.

Option 1: Adding Influencers from the Search Tool:

  1. Select the list of influencers you want to add.

  2. Click Add to > Add selected influencers to.

  3. In the pop-up window, choose the mailing you want to add them to.

Option 2: Adding Influencers from the IRM Tool:

  1. Select the influencer(s) you want to add.

  2. Click Add to and choose the mailing you want to move them to.


Frequently Asked Questions:

1. Can I use merge fields in direct messages to influencers?

Yes, you can use most of the merge fields when sending a direct message to an influencer through Wednesday. Here's how to incorporate them into your messages:

  1. Adding Merge Fields: When composing your email reply in the side panel, start typing “{{“ in the message content area. Doing so will trigger a window to pop up, giving you access to all the merge fields available in your account.

  2. Restrictions: While merge fields can be incredibly useful for personalizing your messages, please note that you cannot use them to add campaign-related merge fields, such as an application_link, in your individual replies.

  3. Fall Back Values: It's important to mention that fall back values for merge fields are not available through the side panel. This feature is exclusively accessible on the mailing template editing page.

2. Is adding fallback values to merge Fields in Email Templates Mandatory?

Adding a fallback value to merge fields in your email template is not mandatory. If a merge field does not exist on a recipient's profile, the email will not be sent out, and you will receive an error notification email.

3. Formatting issues in sample emails from Wednesday

If you send yourself a sample email from Wednesday and notice that the formatting appears off, the issue might be due to invisible formatting within the email template. Here's how to address this:

  1. Switch to Code View: In your email template editor within Wednesday, switch to the "Code view" mode. This mode allows you to see all the HTML formatting that's not visible in the standard editing view.

  2. Identify and Remove Unnecessary Tags: Look for unnecessary <br> tags within the code. These tags are used for line breaks and could be causing unwanted spacing or formatting issues in your email.

  3. Delete Unnecessary <br> Tags: Carefully remove all the unnecessary <br> tags you find. This action should help fix the formatting issues in your sample email.

By cleaning up the hidden formatting in your email template, you should be able to achieve the desired appearance for your emails. Always preview your email after making changes to ensure the formatting looks as expected before sending it to your audience.
